Terms & conditions of business
Thank you for entrusting the care and attention of your pet to Daventry Veterinary Clinic. This letter details our Practice Terms and Conditions. Some aspects of the terms may not be relevant to you and we request that you ask for further explanation/clarification if required. If you ask us to provide treatment, you will be deemed to have accepted these terms.
Fees
All fees and drug charges are subject to VAT at the current rate. Fee levels are determined by the time spent on a case and according to the drugs, materials and consumables used. Our written fee list is available on request and you can find details of many of our fees on our website. You will receive a detailed invoice for every consultation, surgical procedure or transaction with us.
Methods of payment
Accounts are due for settlement at the end of the consultation, the discharge of your pet or before collection of drugs. You may settle the account using:
- Cash
- Credit/debit card: Maestro, Solo, Mastercard, Visa, Delta
Please note:
- We do not accept American Express or Diners card. We do not accept cheques.
Estimates of treatment costs
We will happily provide a written estimate as to the probable costs of a course of treatment. Please bear in mind that any estimate given can only be approximate, often a pets illness will not follow a conventional course.
Settlement terms
If an account is not settled within 14 days of its due date, a reminder will be sent with an additional accounting fee in respect of administrative costs incurred. Should it be necessary for further reminders to be sent, further charges will be incurred. These however, may be deducted if payment is made promptly. After due notice to you the client, overdue accounts may be referred to our Debt Collection Agency or you may be sent to court and further (non-refundable) charges will be levied in respect of costs incurred in collecting the debt: production of reports, correspondence, court fees, attendance at court, phone calls, home visits, etc. Any credit card payment not honoured and any cash tendered that is found to be counterfeit will result in the account being restored to the original sum with further charges added in respect of bank charges and administrative costs together with interest on the principal sum.
Inability to pay
If, for any reason, you are unable to settle your account as specified, we ask you to discuss the matter as soon as possible with a member of staff. Please note that instalments or part payments of any account may only be sanctioned with the express permission of the proprietor.
Pet health insurance
Daventry Veterinary Clinic strongly supports the principle of insuring your pet against unexpected illness or accidents. Please be aware that it is your responsibility to settle any treatment costs at the time and then reclaim the fees from your insurance company. We aim to complete insurance claims and respond to queries from your insurance company within 2 working weeks. We charge a fee per claim form completed and reserve the right to make further charges for responding to queries from your insurer.
Direct insurance claims
We can occasionally claim fees directly from your insurance company. This is at our sole discretion MUST be authorised by the relevant staff before the treatment is carried out and will incur an administration fee. You must pay any excess due direct to us at the time of treatment. You will pay all outstanding fees to us immediately if your insurance company declines to accept all or part of your claim.
Supply of drugs
If you wish, instead of supplying drugs ourselves, we can issue you with a prescription for drugs to be dispensed by a third party. A fee will be charged for this.
Medicine returns
The practice does not accept the return of medicines for credit, refund or swap. There may be a charge for disposal of returned medicines. The return of non-medical products may be accepted in the original, undamaged package.
Reminders
The provision of reminders for vaccinations and other services and products is a courtesy – there is no obligation on the practice or the staff regarding the consequences of failure to provide such reminders.

We can be contacted in writing at our published address, by email or by telephone. Any written correspondence may be saved in electronic form.
Complaints & standards
We hope that you never feel the need to complain about the standards of service received from Daventry Veterinary Clinic. The vet dealing with your case will be happy to discuss any queries that you have. However, if you feel that there is something you wish to complain about, please direct your comments in writing in the first instance to the proprietor. We aim to reply with 15 working days.
Ownership of records
Case records including lab results and similar documents are the property of, and shall be retained by, Daventry Veterinary Clinic. Copies with a summary of the history will be passed on request to another veterinary surgeon taking over the case.
Ownership of x-rays and similar documents
The care given to your animal may involve making some specific investigations, for example taking x-rays or performing ultrasound scans. Even though we make a charge for carrying out these investigations and interpreting their results, ownership of the resulting record for example radiographs remains with the practice.
Out of hours service
The Out of Hours emergency service for Daventry Veterinary Clinic is provided by Vets Now in Northampton and Vets Now in Coventry. If you require advice or treatment for your pet when the surgery is closed please telephone 01604 635 835. If you phone our surgery number when we are closed you will hear a message with details of how to contact the emergency clinic.
Variations in terms of trading
These terms and conditions set out the whole of our agreement relating to the supply of services to you by us. No addition or variation of these conditions will bind the practice unless it is specifically agreed in writing and signed by the proprietor. No agent or person employed by, or under contract with, the Practice has the authority to alter or vary these conditions in any way.
Limitation of liability
Our liability under or in connection with our contract with you whether arising in contract, tort, negligence, breach of statutory duty or otherwise howsoever shall not exceed the price you have paid to us for the services but notwithstanding the foregoing nothing in these terms and conditions is intended to limit any statutory rights you have as a consumer.
